JOB SUMMARY: UNDER THE DIRECT SUPERVISION OF THE ADMINISTRATIVE MANAGER IN THE CENTRE OF CONTINUING EDUCATION, THE TECHNICIAN ACTS AS A RESOURCE PERSON TO PROGRAM COORDINATORS AND MANAGERS, WHOSE ACTIONS AND DUTIES RELATE TO THE DEVELOPMENT, MANAGEMENT AND COORDINATION OF ACADEMIC PROGRAMS, COURSES AND PROJECTS.
DUTIES AND RESPONSIBILITIES:
- Coordinate, plan and administer, in collaboration with the Program coordinators and various College departments, all technical and administrative procedures related to the promotion, information sessions, admission document follow-up, faculty hiring and contracts, orientation, stage placements, and day-to-day management of Continuing Education AEC programs, RAC programs, Evening credit courses and online course offerings.
- Coordinate cohort start-up activities, including registration, orientation, scheduling, and communication with students, faculty, and Program Coordinators.
- Monitor and follow up on student files and program-related requirements to ensure timely completion and accurate records.
- Organize logistics for information sessions and prepare associated documentation.
- Assist with Technical aspects related to faculty hiring and contracts.
- Ensure documentation related to stage placements is complete.
- Coordinate the planning and preparation of RAC cohorts, including timelines, deliverables, scheduling, documentation, and communication with Program Coordinators, Content Specialists, faculty, and students.
- Develop and maintain planning tools, tracking documents, and SharePoint resources to monitor RAC activities, deadlines, and Ministry-related requirements.
- Produce revenue and expense reports related to all RAC activities to assist with preparation of budgets
- Produce content specialists’ contracts and track same in a financial tracking sheet
- Participate in the project management and promotion of all RAC activities
- Provide administrative and technical support to students throughout the stage placement process and follow up on outstanding requirements.
- Promote the Stage module to current AEC students and potential employers and provide technical support for registration through classroom presentations, eblasts, MIO, telephone support, and other communication channels.
- Promote module to potential employers.
- Compile registration data for stage placement approval by Program Coordinator.
- Ensure that all stage documentation is finalized according to College procedures, including CNESST coverage, liability insurance, and academic conformity.
- Monitor course and program content and report changes to the Webmaster to ensure accurate course information, dates, and admission information for Marketing and Communications.
- Provide up-to-date program information to lecegep.ca and other government websites.
- Administer, in collaboration with Communications and the Manager Centre for Continuing Education, various marketing campaigns.
- Collect analytical data on the effectiveness of such campaigns.
Miscellaneous:
- Research, analyse and compile data for reports, such internal reports & government agencies.
- Develop and maintain operational tools, workflows, and resources to support efficient program coordination, communication, and consistent administrative processes.
- Provide operational support to Program Coordinators and managers during periods of high activity, including registration, orientation, cohort start-up, and unexpected staffing or scheduling changes.
- Perform other relevant tasks as may be defined by the Administrative Manager.
QUALIFICATIONS:
Education
Diploma of college studies (DEC) in an appropriate specialty, or a diploma or an attestation of studies which is recognized as equivalent by the competent authority.
Specific Requirements:
- Advanced in English – oral and written production & comprehension
- Intermediate in French - oral and written production & comprehension
- Minimum 4 years of pertinent experience preferred
- Advanced computer skills (MS Office-365)
- Coordinates the team’s work or carries out complex technical tasks
- Well-versed in general office procedures
- Excellent written and oral communication skills
- Ability to deal politely, efficiently and effectively with people
- Strong organizational and planning skills
- Ability to work independently and under time pressure
- Overtime and/or late work may be required on occasion; flexibility in work schedule may be required
- Knowledge about Continuing Education programs, courses and transmission procedures is an asset
- Ability to work with CLARA and SOCRATE systems is an asset
- Knowledge of Moodle is an asset
- Knowledge of WordPress is an asset
Testing may be required to demonstrate knowledge of:
